ACCOUNTS PAYABLE – BILL.COM,  GETTING STARTED

Since November 2015 we started migrating our Accounts Payable to Bill.com and by March 31st 2016, will exclusively use this for AP and associated communication. Bill.com will allow us to streamline our process and pay vendors faster through ACH transfer (or “e-payment” as bill.com refers to it). It also enables us and our vendors to remove a lot of prior email and paper communication.  

 

If you are already familiar with the system you will be aware of its many benefits but if not here is a run down:

 

  • Faster, electronic payments – 48hrs from invoice approval.
  • Ability to electronically invoice us.
  • Ability to discuss or query the status of any invoice directly (no more multiple emails!)
  • Automatic email notifications of payments to you.
  • No cost to you.

How do i get started?

How do I send an electronic invoice?

Will bill.com cost me anything?

No bill.com is entirely free to you. However if you wish to use it for your own business and suppliers, then you will need to sign up for a paid account, which you can trial here https://www.bill.com/signup/

 

How long do ePayments take?

ACH ePayments take 48hrs from instruction. However, the first few payments can take several days longer. This is due to additional fraud and security checks that bill.com undertakes.

 

Why are Check payments being phased out?

Checks are inefficient, they require multiple steps for a payment to clear and they create informational lags in accounting.

 

What is the correct name to address invoices too?

The correct and only acceptable name for invoices is “emotive Experiential Performance Inc” . “Emotive”, “Racing School” or “Jim Russell” are no longer acceptable addresses.

 

What are your standard terms?

Our standard terms are Net 30 days. Meaning you should expect payment 30 days from acceptance of a valid invoice. Note this is not necessarily 30 days from the date at which you send an invoice to use. Invoices are generally processed within 24hrs but may not be if, for example, submitted on a  holiday or weekend. So please wait 35 days before submitting a invoice inquiry, if you ever need too.

 

How do I see the status of an invoice or check the overall status of my account?
